Status: Part-time Hourly Non-Exempt Union position 28 hours per week
Rate of Pay: $22.00 per hour


 Job Summary:

The EcoTarium, A Museum of Science & Nature, is seeking a motivated and detail oriented Volunteer Coordinator to support and expand our volunteer program. This part-time role is essential to recruiting, training, and managing volunteers who enhance the visitor experience and contribute to mission-driven initiatives across museum operations, exhibits, educational programming, and special events.

The Volunteer Coordinator will work collaboratively with departments throughout the organization to assess volunteer needs, ensure volunteers are well-prepared for their assignments, and create a positive, engaging environment that reflects the EcoTarium’s commitment to learning, community, and conservation.

The ideal candidate will be an excellent communicator, passionate about science and nature, and adept at motivating and supporting a diverse group of volunteers. This position requires the ability to work at least one weekend day, with additional hours during school vacation weeks, select holidays, and occasional evening or overnight programs. 

Essential Functions

  • Recruit, screen, orient, place, and manage volunteers and interns across all museum departments
  • Partner with staff to identify volunteer needs and place volunteers appropriately with teams
  • Facilitate EcoTarium Orientation sessions to educate new volunteers and interns on museum policies, expectations, and culture
  • Assist with ongoing training, performance feedback, and corrective action for volunteers and interns as needed
  • Advertise volunteer and intern opportunities through the EcoTarium’s website, online platforms, and community outreach efforts
  • Represent the EcoTarium and its volunteer program at community events, fairs, and partner meetings 
  • Support exceptional visitor experiences by modeling outstanding customer service and training front-of-house volunteers in visitor engagement best practices 
  • Schedule, supervise, and support volunteers for daily operations, exhibits, special programs, and large-scale events 
  • Develop, update, and maintain volunteer program materials, including handbooks, training guides, procedures, and role descriptions
  • Track volunteer hours, manage schedules, and maintain accurate volunteer records and databases
  • Assist and planning and implementing volunteer recognition and appreciation events and initiatives
  • Serve as the primary point of contact for all volunteer-related questions, concerns, and communications
  • Adhere to and enforce museum uniform and dress code standards

Non-Essential Functions:

  • Participate actively in all-staff community meetings, daily huddles, (virtual and in person), and staff training when applicable.
  • Contribute to a professional and motivational work environment by encouraging teamwork and providing positive reinforcement to team members when a job is done well
  • Serve on staff ad-hoc committees when needed
  • Other duties as may be assigned

Qualifications:

  • Experience coordinating volunteers or supervising teams, ideally in a non-profit, museum, or educational setting
  • Strong communication, interpersonal, and organizational skills, with the ability to engage and motivate volunteers of diverse ages and backgrounds
  • Proficiency with volunteer management software, Microsoft Office Suite, and general computer applications 
  • Enthusiasm for the EcoTarium’s mission and commitment to fostering a collaborative work environment
  • Knowledge of customer service best practices and the ability to model excellent visitor engagement
  • Demonstrated ability to multitask, manage time effectively, and work both independently and collaboratively in a fast-paced environment
  • Flexibility, creativity, reliability, and comfort working with diverse racial and socioeconomic populations
  • Bilingual in English and Spanish preferred 
  • Able to navigate the building and grounds in all weather conditions, lift and transport program equipment and supplies up to 40 lbs, remain stationary for extended periods of time, and work in a high sensory environment with frequent guest interactions 
  • Pass CORI and SORI background checks according to EcoTarium’s guidelines
